1Introduction
This Website Backend Access Policy outlines the guidelines, procedures, and responsibilities involved in granting backend access to clients or third parties by Itec Media LLC. Its purpose is to ensure the security, integrity, and smooth operation of websites while providing necessary access to authorized individuals.
Definition
In this policy, “backend access” means any access beyond viewing the published website: the content management system at any role level, hosting or server control panels, file-level (SFTP) access, databases, and DNS. Access is granted at the lowest level required for the stated task. Administrator and server-level credentials are generally not provided; tasks that require elevated access are performed together with Itec Media LLC.
2Authorization and Request Process
2.1Backend access requests must be submitted in writing to your designated Itec Media LLC contact, as named in your proposal or service agreement. The request should include the reason for access, the specific tasks or modifications required, and the duration for which access is needed.
2.2Requests should be submitted by an authorized representative of the client or third party.
2.3Itec Media LLC reserves the right to assess the validity of the request, the necessity of access, and the potential impact on website security and functionality.
3Responsibilities
3.1Clients or third parties granted backend access are responsible for ensuring the security and confidentiality of login credentials provided.
3.2All modifications, changes, or updates made to the website’s backend are the sole responsibility of the authorized individual. Itec Media LLC will not be held liable for any errors, data loss, or security breaches resulting from unauthorized or improper use of backend access.
3.3Clients or third parties are prohibited from sharing backend access credentials with unauthorized parties.
3.4Any changes made to the website’s backend must comply with legal requirements, licensing agreements, and best practices.
3.5Clients or third parties are required to adhere to a code of conduct, respecting the website’s integrity and functionality. Unauthorized or malicious activities are strictly prohibited and will result in immediate revocation of backend access.
3.6Material changes — including plugin installations or removals, code edits, and settings changes — must be reported to Itec Media LLC as they are made, with a full summary provided when the access period ends.
4Potential Problems and Risks
4.1Website functionality: unauthorized or inexperienced modifications to the backend can lead to impaired website functionality, including broken links, dysfunctional features, and impaired user interactions.
4.2Code integrity: incorrect modifications to the backend code can compromise the overall integrity of the website, resulting in compatibility issues across browsers and devices.
4.3Performance: improper backend changes can impact website performance, leading to slower loading times, unresponsive pages, and reduced user satisfaction.
4.4Security vulnerabilities: inadequate knowledge of backend systems may introduce vulnerabilities that could be exploited by malicious parties, leading to data breaches or unauthorized access.
4.5Search visibility: plugin conflicts, broken structured data, or accidental indexing changes can reduce search rankings, and recovery can take months.
5Duration of Access
5.1Backend access will be granted for a specified period as outlined in the access request.
5.2Before access begins, Itec Media LLC may create a restore point. If a restore later becomes necessary, content or changes made after that restore point may be lost.
5.3If an extension of backend access is required beyond the initial period, a new request must be submitted, and Itec Media LLC will review and assess the extension request.
6Suspension and Termination of Access
6.1Itec Media LLC may suspend access immediately, without notice, pending investigation of a suspected breach of this policy or a security concern.
6.2Itec Media LLC reserves the right to terminate backend access at any time, should there be a breach of this policy, security concerns, or a violation of the client’s service agreement.
6.3Upon termination of access, clients or third parties must confirm the summary of changes described in section 3.6.
7Liability
7.1Risk acknowledgment: clients or third parties acknowledge and accept all risks associated with accessing the website’s backend, including potential security breaches, data loss, and legal consequences. This acknowledgment underscores the importance of responsible use of backend access to mitigate risks to website security and integrity.
7.2Indemnification: clients or third parties agree to hold Itec Media LLC, its employees, and agents harmless from any liability, claims, or damages resulting from backend access. This indemnification protects Itec Media LLC from legal recourse related to actions taken by clients or third parties with backend access.
7.3Changes by the client or third parties (developers, SEO and marketing providers):
7.3.1Clients who engage third-party web developers, SEO specialists, or marketing providers to work on their website assume full responsibility for the actions and changes made by these parties. This includes, but is not limited to, any modifications, updates, or the installation of plugins, components, or modules on the website. Clients are obligated to ensure that changes made by third parties adhere to the standards set forth in this policy and are maintained as part of their agreement with those parties.
7.3.2Plugins, components, or modules installed or configured by the client or a third party are not covered by any maintenance plan, and Itec Media LLC will not undertake their maintenance, update, or support unless explicitly agreed under a custom maintenance plan. Itec Media LLC further reserves the right to refuse maintenance of plugins that are redundant or inferior variants of capabilities the website already provides; third parties frequently install such plugins without recognizing the site’s built-in capabilities, creating redundancy, code conflicts, and performance issues.
7.3.3Diagnosis and repair of issues arising from changes made by the client or third parties — including restoring from a backup where necessary — are outside the scope of any maintenance plan and are billed as implementation work at the rates in the client’s proposal.
7.3.4Clients must ensure that their agreements with third-party providers clearly delineate responsibility for maintaining these changes. Failure to do so may result in compatibility, security, and functionality issues for which Itec Media LLC will not be held liable. By engaging third-party providers, clients acknowledge this responsibility and agree to hold Itec Media LLC harmless from any liability, claims, or damages arising from the actions or omissions of such parties.
8Review and Updates
8.1This policy will be reviewed periodically to ensure its effectiveness and relevance.
8.2Itec Media LLC reserves the right to update or modify this policy as needed. Updated versions will be communicated to clients or third parties, and published at this address with their effective date.
